Terms and Conditions
These terms and conditions are applicable to all contracts for the provision of services to the exclusion of any other terms and conditions. Booking confirmations made verbally or via written form i.e. email, letter, are subject to these terms and conditions.
Please read the following terms and conditions of sale carefully before ordering products or services from us. By purchasing products or services from us, you agree to these terms of sale. These terms do not replace or affect your statutory rights. In these terms, “you” and “your” refer to the customer and “we”, “us”, “Southside Bars” and “our” refer to Southside Bars (Southside Bars Cocktails Ltd). Southside Bars accepts no variation of these terms & conditions unless agreed in advance in writing.
1. General Conditions
a. Once the first quote has been sent out, you have 15 days to pay your deposit securing the date and service you have asked for. Payment after this period may result in losing the date or desired service. In the event this happens, you will need to contact Southside Bars again to make sure that your booking is still available.
b. From the original quote you have booked and paid a deposit for, the final amount due is not allowed to drop any lower than 10% from the original amount.
c. Unless otherwise stated, we can liaise with photographers at your event to use the photos and videos which feature our work to use for promotional purposes in the future.
d. The wine from our menu has been specifically chosen by our sommelier to ensure it will be enjoyed by the majority of your guests. If you would still like to try it before we serve, we can arrange a tasting prior to your event. If you’d prefer something else, we’d be more than happy to accommodate this, subject to an additional charge.
e. In order to provide the flawless service we strive to achieve, for every 40 guests you confirm, we will bring one (glass collector/ cleaner). Excluding our bartenders, we believe this is the perfect amount of staff to ensure your party runs seamlessly.
2. Set Up & Pack Down
a. We will need access to the venue four hours prior to service.
b. In the event we can’t find the venue, please provide a second point of contact who we can call.
c. We do not take responsibility to set up any glassware, tables or chairs organised or hired by the client from a third party unless otherwise agreed prior to the event.
d. We are not at fault for any delays from other suppliers. In the event there is a delay we will allow a 30 minute window after the service time starts. In the case there is an unavoidable delay, anything after 30 minutes may result in an additional charge As well, we will not begin the service early because guests arrive early.
e. We will require 2 hours to clear, clean and pack down. We will take everything away with us at the end of the night. If this can’t be achieved, we will come back the following day which will incur an additional charge.
3. Payment
a. To secure a booking, we require a deposit of 20% of the full amount owed which is non-refundable.
b. Up until 30 days before your secured date, this deposit is fully refundable. Between 29 and 10 days before your secured date, the deposit is non-refundable, but is transferable to a future date within 12 months, subject to availability. Within 10 days before your secured date, the deposit is non-refundable and non-transferable.
c. The final payment for the event is due 48 hours before the day of the event.
d. In the case of breakages or a delay during your day, we require you to have access to 25% of the total amount payment ready to pay once the event has finished.
e. In the event of cancellation, thirty (30) days minimum notice in writing to Southside Bars before the planned event is required to avoid the full invoice being charged. Booking deposits are transferable or refundable as per the above Deposit information unless previously discussed in writing. Full payment is required if the above terms are not met.
4. Vendor Meals
a. If we have staff onsite working longer than 8 hours, you agree to pay for staff food. The event planner will usually liase and organise this.
5. Extra Charges
a. When we hire equipment and glassware the client is responsible for guest breakages, and we reserve the right to charge €3.50 for every broken or missing glass, we will only send you an invoice for breakages if the broken/lost glasses is over 5% of the glasses hired. For example if we bring 100 glasses, if 5 glasses are broken or lost there is no charge. If more than 5% are lost or broken we’ll invoice you after the event for the total amount.
6. Stock
a. During an open bar package, we’ll supply ingredients for an average of 1-2 drinks per hour per guest, unless otherwise agreed.
We will always bring a little more than this in the case you and your guests want one specific drink more than another. Where one drink is lots more popular than the other, some drinks may become unavailable; we will provide an alternative choice. At the end of the event all the stock supplied remains of Southside Bars property.
7. Complaints
a. We treat all complaints about our service, either in advance, during or after the event seriously. If you are not happy with the service whilst the party is happening, the best thing to do is speak with the staff on-site and see if the problem can be rectified. If this is difficult or unrealistic to do, please call the out-of-hours mobile number on your pre-arrival document and we will do everything we can to resolve the problem. Your event cannot be replicated at a later date, so we need to know as soon as possible if there is a way for us to enhance your enjoyment of your event right there and then. Complaints made post-event are much harder for us to deal with, and we ask that video or photographic evidence be supplied where possible in order to assist your claim, as well as noting down any issues on the bartender’s job sheet at the end of the shift, so that the bartender(s) can view these and verify the validity of these. When it is found that Southside Bars is at fault, we will recompense with a discount or free service for a future event, for the party organiser or a nominated person. We will only provide refunds where Southside Bars has to change the service against the organisers’ plans; for example if the staff member is booked for 3 hours, arrives late and only serves for 2 hours.
b. If the client believes they need to raise a complaint with Southside Bars, this should be made in writing within 21 days from the date of the event.
8. Licensing
a. Southside Bars is not responsible for acquiring temporary event notices for paid bar events unless required to in writing and therefore is also not responsible for any breaches of licenses outside of Southside Bars’s control. Southside Bars promotes responsible drinking.
9. Insurance
a. Southside Bars has both public liability and employers insurance for all events.
b. Insurance via Simply Business

Employers Liability: £10,000,000

10. Additional
a. Southside Bars shall not be liable for any delay, loss or cancellation of service arising from contingencies beyond their control e.g. hurricane, snow-caused road closure, flooding, ‘act of God’ etc, however if Southside Bars is at fault a full refund will be issued. Although we do aim to provide a highly professional and entertaining service, Southside Bars is not responsible for the success or non- success of an event.
b. We ask that the client thoroughly checks through the invoice to ensure that the venue address, mobile contact, times and date are correct. We cannot be held accountable if our bartenders are late and cannot contact the client to confirm. Likewise we provide you with an out of office mobile contact in case of the above.
c. When hiring a service that provides alcohol, you must be over 18 years of age to book this service.
d. The above conditions are subject to change at the discretion of Southside Bars in part or in whole for one or more of its clients where the company has grounds deemed necessary.
